DATA PROTECTION POLICY
 
1.   PERSONAL DATA
 
1.1.   This document (“Data Protection Policy”) is issued by Fire Safety Managers’ Association Singapore and its related companies (individually or collectively referred to as “FSMAS”, “we”, “our” or “us”. This Data Protection Policy applies to the products, services and/or website(s) provided by FSMAS.
 
1.2.   “Personal Data” refers to any data, whether true or not, about an individual who can be identified (a) from that data; or (b) from that data and other information to which we have or are likely to have access, including data in our records as may be updated from time to time.
 
1.3.   FSMAS is committed to protecting your privacy and personal data (as defined in the Personal Data Protection Act 2012 (“PDPA”). This Data Protection Policy governs how we collect, use, disclose and/or process your Personal Data.
 
1.4.   By interacting with us, submitting information to us, signing up for any products and/or services offered by us, you agree and consent to us collecting, using, disclosing and sharing amongst ourselves your Personal Data.
 
1.5.   FSMAS reserves the right to amend the Data Protection Policy from time to time. We will notify you of any changes by publishing the updated Data Protection Policy on our website.
 
2.   COLLECTION OF PERSONAL DATA
 
2.1.   The Personal Data we collect, use, disclose, process and/or store may include the following:
 
2.1.1.   Your full name;
 
2.1.2.   Your NRIC;
 
2.1.3.   Your residential address;
 
2.1.4.   Your email address;
 
2.1.5.   Your contact details (which may include your home, business and/or mobile phone numbers);
 
2.1.6.   Any other information relating to any individuals which you have provided us in any forms you may have submitted to us, or via other forms of interaction with you.
 
2.2.   Generally, we collect Personal Data in the following ways:
 
2.2.1.   When you submit an application form or registration form, or other forms relating to any of our products and/or services;
 
2.2.2.   When you enter into any agreement or provide other information or documentation in respect of your interactions with us, or when you use our services;
 
2.2.3.   When you interact with our customer service officers, for example via telephone calls, letters, face-to-face meetings, social media platforms and emails;
 
2.2.4.   When you request that we contact you or request that you be included in an email or other mailing list;
 
2.2.5.   When your images are captured by us via CCTV cameras while you are within our premises, or via photographs or videos taken by us or our representatives when you attend events at our premises;
 
2.2.6.   When we receive references from business partners and third parties, for example, where you have been referred by them;
 
2.2.7.   When you fill up surveys administered by us or by our third party surveying service providers;
 
2.2.8.   When we seek information from third parties about you in connection with the products and services you have applied for; and/or
 
2.2.9.   When you submit your Personal Data to us for any other reason.
 
2.3.   You should ensure that all Personal Data submitted to us is complete, accurate, true and correct. Failure on your part to do so may result in our inability to provide you with the products and/or services you have requested.
 
2.4.   You have no obligation to provide any of the personal data requested by us. However, if you choose not to provide us with certain personal data, we may not be able to deal with your request and/or provide you with the services or products that depend on our ability to collect, use, disclose or process, or which require, your personal data. We also may not be able to respond to your inquiry or instructions without your personal data.
 
3.   PURPOSE FOR THE COLLECTION, USE AND DISCLOSURE OF YOUR PERSONAL DATA
 
3.1.   Generally, we collect, use and disclose your Personal Data for the following purposes:
 
3.1.1.   Verifying your identity;
 
3.1.2.   Registering you on our members list;
 
3.1.3.   Responding to your queries, feedback, complaints and requests;
 
3.1.4.   Managing our administrative and business operations and complying with the internal policies and procedures;
 
3.1.5.   Matching any Personal Data held which relates to you for any of the purposes listed herein;
 
3.1.6.   Preventing, detecting and investigating crime and analysing and managing commercial risks;
 
3.1.7.   Managing the safety and security of our premises and services (including but not limited to carrying out CCTV surveillance and conducting security clearances);
 
3.1.8.   Creating and maintaining your profile in our system database for internal records and reference;
 
3.1.9.   Assessing and processing any applications or requests made by you for any courses, events and programmes offered by us;
 
3.1.10.   Providing customer service and support;
 
3.1.11.   Facilitating your use of our online portals; and/or
 
3.1.12.   Any other purpose reasonably related to the aforesaid.
 
3.2.   If you have provided your Singapore telephone number and have indicated that you consent to receiving marketing or promotional information via your Singapore telephone number, then from time to time, we may contact you using such Singapore telephone number (including via voice calls, text, fax or other means) with information about our products and/or services.
 
3.3.   For the avoidance of doubt, you acknowledge and consent to us sharing anonymised information with third parties. PDPA does not apply to anonymised data that does not identify an individual and does not provide you with a right to object to an organisation handling or processing anonymised data.
 
4.   DISCLOSURE OF PERSONAL DATA
 
4.1.   We will take reasonable steps to protect your Personal Data against unauthorised disclosure. Subject to the provisions of any applicable law, your Personal Data may be disclosed by us, for the purposes listed above (where applicable), to the following entities or parties, whether they are located overseas or in Singapore:
 
4.1.1.   Our various entities;
 
4.1.2.   Companies providing services relating to medical screening, insurance, marketing and consultancy;
 
4.1.3.   Our partners or collaborators in our courses, events and programmes (including but not limited to the Singapore Civil Defence Force);
 
4.1.4.   Our professional advisers such as consultants, auditors and lawyers;
 
4.1.5.   Relevant government ministries, regulators, statutory boards or authorities or law enforcement agencies to comply with the laws, rules and guidelines and regulations imposed by any governmental authority;
 
4.1.6.   Any other party whom you authorise us to disclose your Personal Data to.
 
5.   DATA SECURITY
 
5.1.   We will take reasonable efforts to protect Personal Data in our possession or our control by making reasonable security arrangements to prevent unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. However, we cannot completely guarantee the security of any Personal Data we may have collected from or about you, or that for example no harmful code will enter our website (for example viruses, bugs, spyware). You should be aware of the risks associated with using websites.
 
5.2.   Where we transfer information from our servers to our mainframe computers, we use all reasonable endeavours to ensure that this is done securely. Access to our mainframe computers is protected by firewall security systems where required, relative to the risk of the information stored.
 
5.3.   Any information stored in documents or on our system is protected from unauthorised access by the use of a number of security procedures.
 
5.4.   We will also put in place measures such that your personal data in our possession or under our control is destroyed and/or anonymised as soon as it is reasonable to assume that (i) the purposes for which that personal data was collected is no longer being served by the retention of such personal data; and (ii) retention is no longer necessary for any legal or business purposes.
 
5.5.   If applicable, you undertake to keep your username and password secure and confidential and shall not disclose or permit it to be disclosed to any unauthorised person, and to inform us as soon as reasonably practicable if you know or suspect that someone else knows your username and password or believe the confidentiality of your username and password has been lost, stolen or compromised in any way. We are not liable for any damages resulting from any security breaches, on unauthorised and/or fraudulent use of your username and password.
 
6.   CONTACTING US
 
6.1.   It is important that you advise us of any changes to your Personal Data or if there are any errors in the Personal Data we hold about you.
 
6.2.   If you have any questions or feedback relating to your Personal Data, or would like to obtain access and make corrections to your Personal Data, or would like to withdraw your consent to any use of your Personal Data, you can contact our officers by contacting us at membership@fsmas.org.sg
 
6.3.   We will not be responsible for relying on inaccurate or incomplete personal data arising from your not updating us of any changes in your Personal Data that you had initially provided us with.
